REGISTRATION

How do I register for the Congress? 
All registrations to WPA 2015 Bucharest International Congress will be made exclusively online, by filling in the dedicated Form available here

How can I pay the registration fee? 
The payments for the registration fee can be made by bank transfer or online, using the EuPlatesc system.

  •  In the event you want to make the payment by bank transfer, please fill in the Online Registration Form and select the bank transfer option available in the Payment Methods step. 
    After finalizing the payment, please be so kind as to send a copy of the document proving the payment to the Congress secretariat, by attaching it to the Online Registration Form (in step 2) or by emailing it at registration@wpa2015bucharest.org
  •  In the event you want to make the payment using the online system, please fill in the Online Registration Form and select the online payment option available in the Payment Methods step. 
    After finalizing the Registration Form, you will have to fill in your card coordinates in the appropiate window.

Can I fill in the Registration Form even if I did not make the bank transfer payment before? 
Yes. Please make sure you make the payment in the registration period available at the time of your Form registration. 
The registration confirmation will be sent only after the payment confirmation, in maximum 7 (seven) days. You may send the document proving the payment to the Congress secretariat by attaching it to the Online Form (in step 2), or by e-mail, atregistration@wpa2015bucharest.org 

Can I fill in the Registration Form in the early bird period and pay after the deadline for lower fee registration? 
No. To benefit of the early bird registration fees, it is necessary that the payment is made until 16 January 2015. Filling in the Registration Form, without making the payment accordingly, will not secure your registration at the lower fee. The registration fee available at the moment of your payment will be applied. To view the registration categories, please click here

Can I register onsite, at the Congress venue? 
Yes. You will be able to register onsite, at the Participants’ Registration and Information Desk, open during the Congress. The tariffs available for the third registration period will be applied.

Will I receive a written confirmation of my registration? 
Yes. A written confirmation will be sent to the e-mail address provided in the Registration Fee, after having received the payment confirmation. 
It is not necessary to bring the written confirmation at the Participants’ Registration and Information Desk open at the venue. 

Can I receive an invoice for my registration fee? 
Yes. Please fill in the necessary information in the Registration Fee step available in the Online Form. The invoice will be issued on the coordinates you provide in the form, after the amount corresponding to your registration fee has been cashed in. 

I registered for the Congress (I made the payment for my attendance), but I would like to cancel. What do I have to do?

How many CME points do I receive for attending WPA 2015 Bucharest International Congress? 
At the end of the Congress, all participants will receive a certificate with CME credites granted by the authorized institutions. The number of CME points will be communicated to all attendants as soon as all the necessary procedures will have been finalized.

SCIENTIFIC ABSTRACTS

I registered an abstract for the Congress. Do I have to register and attend the event? 
Yes. All authors accepted for presentation must register for the Congress and pay the registration fee before end of January 2015 in order to confirm their presentation. Failure to do this could result in losing their presentation slot.

If the presenting author cannot attend the Congress, they must delegate and announce a substitute presenter by sending a written notification to the Congress secretariat, at registration@wpa2015bucharest.org. 

I submitted an abstract for the Congress. How will I know if it has been accepted? 
All abstracts, workshops and symposia submitted for the Congress within the deadline will be evaluated by the Scientific Committee. After finalizing the evaluation process, all authors will be notified via e-mail about the outcome of the evaluation for their registered scientific contributions. 
The notification will be sent on the e-mail address of the contact person included in Step 1 of the Abstract Subsmission Form, after the evaluation process has been finalized.


How can I make changes on an abstract that I have already submitted? 
Submitters can go back and make changes to a submitted abstract at any time up to the deadline. To edit a submitted abstract please use the personalized link received in the abstract submission confirmation e-mail.

How many abstracts can I register for the Congress? 
It is possible to submit more than one abstract. However, only one presenting author per abstract is permitted.

My paper was accepted for e-Poster presentation. How do I do it?

ACCOMMODATION

How can I get more information regarding the available hotels and their tariffs? 
The Congress Secretariat provide an accommodation offer with preferential tariffs for all Congress participants.

How can I book a room for my stay during the Congress? 
All accommodation bookings will be made exclusively online, by filling in the Accommodation Form available here

How can I pay for my accommodation booking?

  •  In the event you want to make the payment using the online system, please fill in the Online Accommodation Form and select the online payment option available in the Payment Methods step. 
    After finalizing the Registration Form, you will have to fill in your card coordinates in the appropiate window. 

  •  In the event you want to make the payment by bank transfer, please fill in the Online Accommodation Form and select the bank transfer option available in the Payment Methods step. 
    After finalizing the payment, please be so kind as to send a copy of the document proving the payment to the Congress secretariat by emailing it at registration@wpa2015bucharest.org
    Bank expenses are the responsability of the payee and should pe paid simultaneously with the registration fee.

When do I have to pay for my room so that I don't lose the booking? 
In order to have your booking confirmed, payment for 1 night of accommodation for the entire number of rooms booked is necessary in maximum 7 (seven) day after filling in the Form, but no later than 05 January 2015. If the payment has not been received before the deadline, the Congress Secretariat will automatically cancel the booking. 

The rest of the payment for the whole period of accommodation will be made until 01 March 2015. If the payment has not been received before the deadline, the Congress Secretariat will automatically cancel the booking, and there will be no refund of the payment. 

Will I receive a confirmation of my booking? 
Yes. A written confirmation of your booking will be sent on the e-mail address mentioned in the Accommodation Form, after the Congress Secretariat have received a payment confirmation for the first night of accommodation.

Can I book a room without being registered for the Congress? 
The accommodation offer provided by the Organizers is designed for WPA 2015 Bucharest International Congress participants only. 
You may book your accommodation if, at the moment of your Accommodation Form submission you are not registered as a participant, but you will have to register before the Congress. 

Can I book rooms for a group of participants? 
Yes. Please contact us at registration@wpa2015bucharest.org for group accommodation bookings.

INVITATION LETTERS & VISA APPLICATIONS

Do I need a visa to visit Romania? 
In order to find the regime applicable to your country, please see the information below. 


1. The list of countries whose nationals, holders of simple travel documents, must be in possession of a visa upon entry in the Romanian territory can be accessed here.


2. The list of countries whose nationals, owners of simple passports, are exempt from the requirement of a Romanian visa can be accessed here.


3. The list of countries whose nationals, holders of diplomatic passports, service passports, official passports and seamen's books, are exempt from the requirement of a Romanian visa can be accessed here.



I need a visa in order to visit Romania. How do I apply?

Please note that the participants applying for a visa must hold the following documents:

  •  a valid travel document
  •  supporting documents attesting the purpose and conditions of the trip
  •  travel ticket valid for the destination or the driver's licence and registration documents of the vehicle used for transportation
  •  proof of appropriate financial means for the duration of transit (at least 50 eur/day of stay, but no less than 500 Euro
  •  medical insurance
  •  accommodation bookings for your travel

Where can I get a Congress invitation letter so that I can apply for a visa?

Participants requiring a formal letter of invitation for visa purposes should contact the Congress Secretariat atregistration@wpa2015bucharest.org.

The invitation sent by the Congress Secretariat is intended to help delegates to obtain a visa and does not imply a commitment from the Congress Organizers to provide any financial support or scheduling of presentation.

Can I receive a Visa on-site? 
Visas are not issued on-site at the Congress venue. Delegates have to make their application in advance via their local embassy/consulate. 

Is it possible to send an official invitation letter directly to my local Romanian Consulate? 
Unfortunately we are unable to send invitation letters or to make any direct contact with consulates. Invitation letters are prepared solely for individuals and are mailed directly to them.
